STUDIO MANAGER | ASSISTANT

The Studio Manager is the Chief of Staff and Maître d ’Hotel of this home.
Studio Manager assists, upholds, guides and facilitates the daily and global mission of the Studio’s projects including Management, Business Development, External Affairs, and collaborations with Industry Organizations, Cultural Institutions and Charitable Causes.
As an Ambassador, the Studio Manager furthers the vision of the Principal and the work of the Studio Team and Brand.
We are seeking an exceptional, bright, and motivated Studio Manager | Assistant to work closely with the founder capable of owning and enhancing our approach and brand mission.
Candidates must have relevant experience in New York City, embody an ownership mentality and enjoy the rigor and challenge of supporting the execution of world class projects for internationally renowned organizations. Candidates must be creative and passionate about design excellence, efficiency, hard work and detailed execution, focused and seeking to embrace a leadership role.
Salary and benefits will be commensurate with experience.
RESPONSIBILITIES INCLUDE THE FOLLOWING
Ensure organized, timely, accurate and gracious communication with all internal and external contacts
● Answer Telephone according to Studio Brand Standards
● Manage General Office Email, correspondence and Thank You notes
● Maintain and Update Contact Database
● Prepare and execute Packaging and Delivery of Packages, Messenger, FedEx and Post
Manage Studio and Principal Calendar for maximum efficiency and according to priorities
● Daily Meeting with Principal to Set Goals and Coordinate Intentions
● Coordinate Calendar and Meeting Schedule for Studio and Principal
● Assist with Travel Arrangements and Daily Logistics
● Assist Principal in Communications with Studio Team
Ensure that the studio standard of hospitality is reflected in the experience of every guest and team member
● Prepare Studio and Greet Guests for Meetings and Special Events
● Manage Organization of Special Events and Activations in the Studio
● Manage Organization of the Studio
● Coordinate Maintenance of Studio
● Manage and Execute Pickup and Delivery of items required for Principal, Guests and Events
Keep all systems, tools, resources and data organized, clean, maintained, adequately supplied and optimally functioning
● Manage Studio Supply and Art and Design Collection Inventory
● Assist with Material Sample Procurement, Orders and Tracking
● Assist in Organization of Materials Library
● Attend to Weekly and Monthly IT Support Needs
● Review Time Sheet Hours for Principal and Team
● Assist Bookkeeper in Organizing and Filing Information
● Assist in Printing and Packaging Presentation Documents for Studio
Uphold and Develop Communications for Brand Standards, New Business, Public Relations and External Affairs
● Assist Team with Project Presentations
● Assist with Media Communications and Submissions
● Maintain the Brand Standards
● Assist with Communications for New Projects
● Assist with Development of Brand Standards and New Business
● Assist with Communication with Press and Media
● Manage Relationships with Cultural and Philanthropic Organizations and Collaborative Initiatives
● Manage Studio Newsletter Emails
● Update Website Content
QUALIFICATIONS
● Working experience as manager, assistant or intern in the arts
● Interest in Architecture and Design, Fashion, Culinary Arts and Hospitality
● Self-motivated and energetic with the ability to multitask and work efficiently toward deadlines
● Desire, appreciation and ability to work in a specific, brand focused, high design, fast-paced, rigorous, and collaborative environment
● Bachelor’s Degree in the Arts, Communications or Hospitality
● Proficiency in Adobe Creative Suite
● Currently living in New York and legally eligible to work in the United States
● Japanese language proficiency welcome
